Application: BIICS Bookkeeping Assist | Effective: September 8, 2026 | Scope: Internal use only
This policy explains what data BIICS Bookkeeping Assist accesses through the QuickBooks Online API, why, and how it’s handled. The application connects to a single QuickBooks Online company file — BIICS’s own — and to no other.
1. Who operates this application
Business Intelligence & Informatics Consulting Services, Inc. (“BIICS”) builds and operates BIICS Bookkeeping Assist for its own internal bookkeeping work. There is no separate vendor, processor, or third party involved in operating the application.
2. What data we access
Through the QuickBooks Online API, and only from BIICS’s own company file, the application reads:

The application does not access QuickBooks’ bank-feed “For Review” queue, and does not read or write payroll, employee, or tax-filing data.
3. How we use it
Data is used only to reconcile BIICS’s own books — matching recorded hours, rates, and invoiced amounts against what QuickBooks shows as posted or paid, and correcting transaction categories where a human reviewer has already determined the correct category. No data collected through this integration is used for any purpose outside BIICS’s own internal accounting operations.
4. Storage & security
- OAuth connection tokens are stored locally in an access-controlled BIICS environment, in a file excluded from version control.
- Retrieved financial data is used for reconciliation processing and is not persisted beyond what’s needed for that work.
- Access to the application and its stored credentials is limited to authorized BIICS personnel and BIICS-operated systems.
5. No third-party sharing
BIICS does not sell, rent, or share data accessed through this integration with any third party. Data flows in one direction only — from QuickBooks Online into BIICS’s own internal reconciliation process.
6. Changes to this policy
If how this application accesses or uses QuickBooks data changes materially, this page will be updated and the effective date above revised.
